1         INTRODUCTION

 

1.1        Purpose

 

The objective of this document is to explain the step-by-step guidelines on how to use the e-REP Public Module.

 

The chapters in this manual are organized in a logical functional manner, and not necessary in the order that the users would normally use the system.

 

A reader can go through this User Manual in any order according to the specific function that he/she encountered or is interested in.

 

1.2        Background

 

The e-REP system is an e-service offered by ICA to allow Permanent Residents of the Singapore to renew, transfer, enquire and check application status for Re-Entry Permit with ICA.

 

1.3        Scope

 

This User Manual covers the Public Module in e-REP system.

 

The Public Module provides Renewal, Transfer, Enquiry and Check Application Status of Re-Entry Permit through the internet.

 

1.4        Definitions, Acronyms and Abbreviations

 

This manual uses the following conventions:

·          [Button Name] to show it is a button or hyperlink.

 

 

 

 

 

 

The following format is used by the e-REP system:

·         DD/MM/YYYY as a Date Format (E.g. 04/12/2008)

 

Date and Time used in the e-REP system will be in Singapore time.

 

This manual uses the following Acronyms and Abbreviations:

1.5        About This Manual

           

1.5.1        Pre-Conditions

           

·         Users of the e-REP Public Module should have basic knowledge of using a web browser such as Internet Explorer (IE), navigating from one page to another.

 

·         Ensure that the PC is installed with JVM to authenticate through SingPass.

 

·         Ensure that you have one of the following in order to make payment online:

 

o        VISA Card; or

 

o        Mastercard Credit/Debit Card; or

 

o        American Express Card; or

 

o        Internet Banking (Citibank, DBS/POSB or UOB)

 

·         Ensure that the e-REP and eNET urls are added as allowed sites if you are using a pop-up blocker.

 

·         Ensure that the PSi url to enable cookies has been added to your IE setup configuration.

 

·         Ensure that the PC is installed with Acrobat Reader to view the REP in PDF format.

 

·         Ensure that a printer connected to the network or computer to print the REP.

           

 


2         FUNCTIONS

 

2.1        Welcome Page

Caution - Please ensure that all the buttons are clicked once only, do not use [Back] or [Forward] buttons on your browser as this might cause your application to be unsuccessful.

 

1.       To access the Terms and Conditions:

·         Click on the hyperlink [Terms and Conditions] shown in the top right hand corner of Figure 2.1a

·         Terms and Conditions page will be displayed

·         Please refer to Appendix 4.1

 

2.       To access the Frequently Asked Questions:

·         Click on the hyperlink [FAQs] shown in the top right hand corner of Figure 2.1a

·         Frequently Asked Questions page will be displayed

·         The Frequently Asked Questions page provides answers to the most frequently asked questions on using e-REP

·         Please refer to Appendix 4.2

 

3.       To access the Help:

·         Click on the hyperlink [Help] shown in top right hand corner of Figure 2.1a

·         Help page will be displayed

·         The Help page explains on functions that are provided in the application

·         Please refer to Appendix 4.3

 

4.       To access the ICA Website:

·         Click on the hyperlink [ICA Website] shown in the bottom page of Figure 2.1a

·         A new page will be displayed with the ICA Website

 

5.       To access the eCitizen Website:

·         Click on the hyperlink [eCitizen] shown in the bottom page of Figure 2.1a

·         A new page will be displayed with the eCitizen Website

 

 

2.1.1        Login with SingPass

 

To proceed with login

·         Click on the [Login with Singpass] as shown in Figure 2.1a

·         User will be routed to Singpass website as shown in Figure 2.2a

·         Fill in SingPass ID and SingPass(password)

·         Click on the [Submit] to login

·         Upon successful authentication, User will be routed to e-REP Main Menu shown in Figure 2.2b. Refer to Section 2.2 for details.

2.2        e-REP Main Menu

 

This function allows the public to select the desired e-REP function after logging in using their SINGPASS.

·         Click on the hyperlink [Renewal of Re-Entry Permit] to access renewal of REP module. Refer to Section 2.3 for details.

·         Click on the hyperlink [Transfer of Re-Entry Permit] to access transfer of REP module. Refer to Section 2.4 for details.

·         Click on the hyperlink [Check Application Status] to access check REP application status module. Refer to Section 2.5 for details.

·         Click on the hyperlink [For Self] to enquire list of REP of the user. Refer to Section 2.6.1 for details.

·         Click on the hyperlink [For Child/Children] to enquire list of REP of the user’s child/children. Refer to Section 2.6.2 for details.

 


2.3        Renewal of Re-Entry Permit

 

This function enables the user to renew REP for himself and/or family members.

 

2.3.1        For Self

2.3.1.1         Application Type Selection

·         Click on the hyperlink [Renewal of REP] from e-REP Main Menu as shown in Figure 2.2b

·         Select option “Self” as shown in Figure 2.3.1a

·         Click on [Proceed] to submit your request. System will process your request and continue to Renewal Entry Page. Refer to Section 2.3.1.2 for details.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.3.1.2         Renewal Entry Page

·         Fill in Spouse NRIC No. (if any) under Applicant Details

·         If you are a Malaysian, fill in New Malaysian ID No.

·         Fill in the fields under Travel Document Details of Applicant

·         Select the radio button under Residential Details

·         Select the radio button under Occupation Details

o        If [Yes] is selected, fill in Company Details as shown in Figure 2.3.1c

o        If [No] is selected, select Reason from the drop down list as shown in Figure 2.3.1.d

·         Fill in the field(s) under Educational Details

o        Select Highest Academic/Professional Qualification Attained from the drop down list

o        For certain qualifications selected, Country Obtained field will be shown. If applicable, select the Country Obtained as shown in Figure 2.3.1e

·         Fill in the fields under Contact Details

·         Click on [Proceed] to continue to Preview Page. A confirmation box will be displayed. If you have entered Travel Document No. from the physical Travel Document and a correct Travel Document No. (e.g. Axxxxxxxx for Malaysian International Passport) is entered if you are using a Malaysian Travel Document, click on [Ok] to continue. Refer to Section 2.3.1.3 for details.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

 

2.3.1.3         Preview Page

·         Read the declaration and tick the checkbox as shown in Figure 2.3.1f

·         Click on [Submit] to submit the application. System will process your request and display one of the following outcomes:

o        If application status is Pending, refer to Section 2.3.1.4;

o        If application status is Approved, refer to Section 2.3.1.5.

·         If you wish to amend the details, click on [Amend] to return to Renewal Entry Page.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.3.1.4         Acknowledgment Page (for Pending Application)

·         If your renewal application is pending, an acknowledgement page will be displayed as shown in Figure 2.3.1g.

·         You may return back to e-REP and visit “Check Application Status” module in 5 working days from the date of submission to check the outcome for your application.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.3.1.5         Payment Summary Page

·         If your renewal application is approved, pending payment page will be displayed as shown in Figure 2.3.1h. You may proceed to make payment for your application.

·         Click on [Make Payment] to go to Payment Page. Refer to Section 2.7 for details. After payment is made, ePayment will return to e-REP and display the acknowledgement page in Section 2.3.1.6.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu]. You may make payment via “Check Application Status” module.

2.3.1.6         Acknowledgment Page (After Payment is made)

·         If payment is successful, a payment summary page will be displayed as shown in Figure 2.3.1i. You may proceed to print your REP.

·         Click on [Print REP] to generate the REP printout. A new window will appear, showing the REP printout in PDF format. Refer to Appendix 4.5. Please note that once you have printed your REP, NO reprint is allowed after you leave this screen or logged out from e-REP.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.3.2        For Self & Family

2.3.2.1         Application Type Selection

·         Click on the hyperlink [Renewal of REP] from e-REP Main Menu as shown in Figure 2.2b

·         Select option “Self & Family” and fill in your family members’ NRIC No. or UIN as shown in Figure 2.3.2a

·         Click on [Add Child] to add up to 10 children

·         Click on [Proceed] to submit your request. System will process your request and continue to Renewal Entry Page. Refer to Section 2.3.2.2 for details.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.3.2.2         Renewal Entry Page

The renewal entry page will display fields to enter for Applicant, Spouse and/or Child/Children (if any).

·         For Self’s Details (as shown in Figure 2.3.2b):

o        Fill in Spouse NRIC No. (if any) under Applicant Details

o        If you are a Malaysian, fill in New Malaysian ID No.

o        Fill in the fields under Travel Document Details of Applicant

o        Select the radio button under Residential Details

o        Select the radio button under Occupation Details

§         If [Yes] is selected, fill in Occupation Details as shown in Figure 2.3.2c

§         If [No] is selected, select Reason from the drop down list as shown in Figure 2.3.1.d

o        Fill in the field(s) under Educational Details

§         Select Highest Academic/Professional Qualification Attained from the drop down list

§         For certain qualifications selected, Country Obtained field will be shown. If applicable, select the Country Obtained as shown in Figure 2.3.1e

2.3.2.3         Preview Page

·         Click on [Submit] to submit the application. System will process the request and display one of the outcomes:

o        If your application status is Pending, refer to Section 2.3.2.4;

o        If your application status is Approved, refer to Section 2.3.2.5.

2.3.2.4         Acknowledgement Page (for Pending Application)

2.3.2.5         Payment Summary Page

2.3.3        For Family

2.3.3.1         Application Type Selection

·         Click on the hyperlink [Renewal of REP] from e-REP Main Menu as shown in Figure 2.2b

·         Click on [Add Child] to add up to 10 children

2.3.3.2         Renewal Entry Page

2.4        Transfer of Re-Entry Permit

 

This function enables the user to transfer REP from one Travel Document to another for himself or on behalf of his child.

 

2.4.1        For Self

2.4.1.1         UIN Entry Page

·         Click on the hyperlink [Transfer of REP] from e-REP Main Menu as shown in Figure 2.2b

·         Select option “Self” as shown in Figure 2.4.1a

·         Click on [Proceed] to submit your request. System will process your request to retrieve your REP records:

o        If REP records are available for transfer, refer to Section 2.4.1.2;

o        If REP records are not available for transfer, refer to Section 2.4.1.4

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.4.1.2         Transfer Entry Page, with REP records found

·         Fill in the fields under Contact Details

·         Select Current Travel Document No. from the drop down list

·         Fill in the fields under New Travel Document Details. Please ensure the following:

o        Name must be the same for both Travel Documents. If there are changes to your personal particulars, you are required to call in-person at ICA before applying the transfer application.

o        You may only transfer REP between travel documents of the same Nationality.

·         Click on [Proceed] to continue to Preview Page. A confirmation box will be displayed. If you have entered Travel Document No. from the physical Travel Document and a correct Travel Document No. (e.g. Axxxxxxxx for Malaysian International Passport) is entered if you are using a Malaysian Travel Document, click on [Ok] to continue. Refer to Section 2.4.1.3 for details.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.4.1.4         Transfer Entry Page, with no REP Records found

·         Fill in the fields under Contact Details

·         Fill in the fields under Re-Entry Permit Details

·         Fill in the fields under Current Travel Document Details

·         Fill in all the fields under New Travel Document Details. Please ensure the following:

o        If you are not sure where to find your REP, click on the hyperlink [How To Locate Your Rep No.?]. A new window will be displayed as shown in Appendix 4.4.

o        Name must be the same for both Travel Documents. If there are changes to the personal particulars, you are required to call in-person at ICA before applying the transfer application.

o        You may only transfer REP between travel documents of the same Nationality.

·         Click on [Proceed] to continue to Preview Page. A confirmation box will be displayed. If you have entered Travel Document No. from the physical Travel Document and a correct Travel Document No. (e.g. Axxxxxxxx for Malaysian International Passport) is entered if you are using a Malaysian Travel Document, click on [Ok] to continue. o        If your application is Approved, refer to Section 2.4.1.7

·         If you wish to amend the details, click on [Amend] to return to Transfer Entry Page.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.4.1.6         Acknowledgement Page (for Pending Application)

·         If your transfer application is pending, an acknowledgement page will be displayed as shown in Figure 2.4.1f.

·         You may return back to e-REP and visit “Check Application Status” module in 5 working days from the date of submission to check the outcome for your application.

·         If you wish to transfer more REP, click on [Transfer More]. A pop up box will be displayed. Click on [Ok] to return to UIN Entry Page.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.4.1.7         Acknowledgement Page (for Approved Application)

·         If your transfer application is approved, an acknowledgement page will be displayed as shown in Figure 2.4.1g. You may proceed to print your REP.

2.4.2        For Child

2.4.2.1         UIN Entry Page

·         Click on the hyperlink [Transfer of REP] from e-REP Main Menu as shown in Figure 2.2b

·         Select option “Child” as shown in Figure 2.4.2a and fill in the NRIC No. or UIN of child you are transferring for.

·         Click on [Proceed] to submit your request. System will process your request to retrieve your REP records:

o        If REP records are available for transfer, refer to Section 2.4.2.2;

o        If REP records are not available for transfer, refer to Section 2.4.2.4

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.4.2.4         Transfer Entry Page, with no REP records found

·         Fill in the fields under Contact Details

·         Fill in the fields under Re-Entry Permit Details

·         Fill in the fields under Current Travel Document Details

·         Fill in all the fields under New Travel Document Details. Please ensure the following:

o        If you are not sure where to find your REP, click on the hyperlink [How To Locate Your Rep No.?]. A new window will be displayed as shown in Appendix 4.4.

o        Name must be the same for both Travel Documents. If there are changes to the personal particulars, you are required to call in-person at ICA before applying the transfer application.

o        You may only transfer REP between travel documents of the same Nationality.

·         Click on [Proceed] to continue to Preview Page. A confirmation box will be displayed. If you have entered Travel Document No. from the physical Travel Document and a correct Travel Document No. (e.g. Axxxxxxxx for Malaysian International Passport) is entered if you are using a Malaysian Travel Document, click on [Ok] to continue. Refer to Section 2.4.2.5 for details.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.4.2.6         Acknowledgement Page (for Pending Application)

·         You may return back to e-REP and visit “Check Application Status” module in 5 working days from the date of submission to check the outcome for your application.

·         If you wish to transfer more REP, click on [Transfer More]. A pop up box will be displayed. Click on [Ok] to return to the UIN Entry Page.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.4.2.7         Acknowledgement Page (for Approved Application)

2.5        Check Application Status

 

This function enables the user to check the outcome of the renewal and transfer applications submitted via e-REP.

 

2.5.1        Application Listing

·         Click on the hyperlink [Check Application Status] from e-REP Main Menu as shown in Figure 2.2b

·         Renewal and Transfer applications submitted will be displayed in Figure 2.5.1a.

·         Click on the hyperlink [Application No.] to view the summary of the application. Likewise you can click on the hyperlinks [Make Payment] or [Print REP].

o        Renewal Application

§         For Pending Status, refer to Section 2.5.2.

§         For Approved Status, refer to Section 2.5.3.

§         For Issued Status, refer to Section 2.5.4.

§         For Cancelled, Rejected and/or Withdrawn Status, refer to Section 2.5.5.

o        Transfer Application

§         For Pending Status, refer to Section 2.5.6.

§         For Approved Status, refer to Section 2.5.7.

§         For Rejected Status, refer to Section 2.5.8.

·         If you do not see your application in the listing, it may be due to the following:

o        Your application has been processed more than two (2) months; or

o        Your REP issued has not been printed more than two (2) months.

2.5.2        Renewal Application Summary (Pending)

·         If your renewal application is pending, a summary page will be displayed as shown in Figure 2.5.2a.

·         You may return back to e-REP and visit “Check Application Status” module in 5 working days from the date of submission to check the outcome for your application.

·         If you wish to return to the application listing, click on [Back].

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.6        Enquiry of Re-Entry Permit

 

This function enables the user to view his issued and non-expired REPs.

 

2.6.1        For Self

·         Click on the hyperlink [Self] under Enquiry of REP from e-REP Main Menu as shown in Figure 2.2b.

·         System will retrieve a list of your issued and non-expired REPs. Refer to Section 2.6.1.1.

 

2.6.1.1         List of Re-Entry Permit

·         All issued and non-expired REPs belonging to you will be displayed as shown in Figure 2.6.1a

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.6.2        For Child

2.6.2.1         UIN Entry Page

·         Click on the hyperlink [For Child/Children] under Enquiry of REP from e-REP Main Menu as shown in Figure 2.2b.

·         Fill in the NRIC No. or UIN of the Child/Children as shown in Figure 2.6.2a

·         Click on [Add Child] to add up to 10 children.

·         Click on [Proceed] to retrieve the list of issued and non-expired REPs of NRIC No. or UIN entered. Refer to Section 2.6.2.2 for details.

·         If you wish to return to e-REP Main Menu, click on [Return to Main Menu].

2.7        Payment

 

This function enables the user to make payment for renewal application submitted online.

 

To proceed with payment after clicking on [Make Payment]

·         Browser will direct to Payment Option Selection page as shown in Figure 2.7.1a

·         Click on one of the Payment Mode as shown in Figure 2.7.1a.

·         If you wish to cancel payment, click on [Cancel Payment] and you will be routed back to e-REP System.

·         After clicking on Payment Mode, e-NETS page will be displayed:

o          If you have chosen to make payment by credit/debit card, please enter your Credit/Debit Card Information; or

o          If you have chosen to make payment by Internet Banking, please select a Singapore Bank and proceed with the payment transaction.

·         Once payment had been made, system will return back to e-REP. A receipt will be displayed in a separate web-browser window.


3         TROUBLESHOOTING

 

·         Why do I get the message “Internal Error”?

 

This occurs because the application is unable to detect the current session as the session has been lost. Close the browser and try again.

 

·         Why do I get the message “Page has expired”?

 

The ‘Back’, ‘Forward’ or ‘Refresh’ button was clicked, thus caused the session to be lost. Please take note that the ‘Back’, ‘Forward’ or ‘Refresh’ button should not be used throughout the session.

 

·         Why do I get logged out after a while?

 

This occurs because you have idled for more than 30 minutes.

 

·         Why do I get logged out before the timeout?

 

This occurs because another person is using your SingPass to log into e-REP at the same time.

 

·         Why do I encounter “Processing in progress. Please wait…” at SingPass page?

 

This occurs when your PC has not been installed with Java Virtual Machine (JVM). Please refer to [Help] at the top right hand corner of e-REP for steps to install JVM.

 

·         Why do I encounter some relevant pages from the banks not displayed?

 

This occurs when you are using a pop-up blocker. Please refer to [Help] at the top right hand corner of e-REP for steps to add e-REP and eNETS urls as allowed sites.

 

·         Why do I encounter error code 6170 when making payment?

 

This occurs when your browser has not been setup to enable cookies for PSi url. Please refer to [Help] at the top right hand corner of e-REP for steps to setup your IE configuration.

 

·         Why can’t I open or print the REP Printout?

 

This occurs because your PC has not been installed with Acrobat Reader or the Acrobat Reader is corrupted. Please refer to [Help] at the top right hand corner of e-REP for steps to install Acrobat Reader.
